MeetingMatrix Interface

Abacus 21 sells MeetingMatrix™ (the Internationally-acclaimed Facility Floorplan Layout Software) separately... and sells Interfaces between MeetingMatrix™ and Abacus 21's Banquet-Catering, Event-Party Reservation, and Dining Reservations modules separately.

 

This section describes the basic steps of setting up the MeetingMatrix™ 0-Level Interface with the Banquet-Catering Module.

Installation and use of MeetingMatrix™ is provided directly by MeetingMatrix™ personnel.

 

Steps for Configuring & Using the MeetingMatrixInterface -

 

 

 

Configuring MeetingMatrix Interface -

 

The following (highlighted section) syntax-segment must be first set up within the Abacus21.ini File:

 

 

Note that the path is subject to the Client's installation of MeetingMatrix itself.

 

Note also that the double-highlighted 'MeetingMatrix 2007' subdirectory in the above example is variable per its assignment by MeetingMatrixparticular to the Client (in this case, Abacus 21).

Floorplan Layouts -

 

 

The Floorplan Layouts Menu Option provides a direct launch of MeetingMatrix™ itself.  MeetingMatrix is used to create "templates" for Floorplan Layouts -- perhaps for each Function-Space's typical Setup Styles -- so that one of these templates can be used as a 'starting point' for customizing a room layout for any Facility associated with any Function or Activity of an Event.

 

 

This will get you to the opening MeetingMatrix screen... at which point you can perform any of the MeetingMatrix functionality such as calling up a list of already-established Floorplan Layouts:

 

 

After 'launching' MeetingMatrix for the first-time during the day, you may leave it active or minimized so that subsequent Abacus 21 references to it will not require a re-launch.

Facility-Resource Setup -

 

This is where you can attach a pre-created Floorplan Layout to any one (or more) of a Facilities Setup Styles.

Searching for a particular Facility:

Select the 'Scheduling' Tab to be sure the Facility is (in general) available to be 'booked' by the Banquet-Catering System:

 

 

Select the 'Setup Styles' Tab:

 

 

Note -  The 'Facility Diagram Setup' button launches MeetingMatrix (if you need to get into design mode):

 

 

You can attach a Floorplan Layout Template (Facility Diagram) to any of the Room Layout Setup Styles that you have created.  Calling up one of the Seating Styles for the Seaglass Ballroom (namely the "Classroom Chevron 6' Tables" one):

 

 

Under the MeetingMatrix Diagram section at the bottom, you can:

 

 

 

 

 

 

 

 

Using Facility-Floorplan-Diagram Templates with Banquet-Catering -

 

You can optionally attach one (or more... if you are evaluating multiple alternatives) Floorplan Layouts.

Under the multiple Floorplan scenario, one (1) of them is designated as 'Primary' -- the ultimate choice (unless subsequently changed).

 

Call up any Event's Function or Activity that involves a Facility:

 

 

Hit the 'Facility Diagrams' button:

 

 

From here, you can Ad, Edit, or Delete affiliated Facility Diagrams.  For example, adding:

 

 

Description - Create an appropriate Description for this particular iteration of the Floorplan.

 

Primary Setup Diagram for Function - Check this if this Floorplan is to be considered 'Primary' (the ultimate one).

You can declare only one (1) of these to be Primary.  Selecting one as 'Primary', de-selects any previously other one that Primary.

Note - An additional (optional) narrative area to elaborate on the Setup Floorplan.

 

Facility Setup Diagram - Browse and select an appropriate Diagram.

 

Print-on-BEO - Check this flag if you desire to have this Diagram print out as an adjunct to the BEO.

Your BEO-Style must be configured to support 'inclusion' of MeetingMatrix Diagrams.

Floor Plan Layouts are typically presented as 'Exhibit' Pages after the normal content of the BEO is finished.

If your current style does not already include this feature, please contact Abacus 21 Sales to request a Quotation for appending it.

 

Critical Consideration -

As you call up a pre-defined Template, make sure you change the Name of it (to be something pertinent to the Event-Function-Facility) and 'Save-As' (rather than 'Save').
