Payroll Interfaces

Abacus 21 has developed a number of Interfaces to several different Payroll and Human Resource Systems:

  Great Plains Dynamics
  Intuit
  PayChex
  Peachtree
  PeopleSoft
  QuickBooks
  Sage
  Solomon

Call for information on Interfaces to Other Payroll Systems.

In general, the primary accomplishment of these Interfaces amounts to passing Abacus 21 Timeclock-recorded Regular & Overtime Hours/Dollars (or Salaried Hours and/or Miscellaneous Earnings than can be set up automatically or entered via Abacus 21's Timekeeping System) over to the respective Payroll System -- typically in a batch file.  Of course, the details and protocol of the respective interfaces vary based on the 3rd-party Payroll System's interface-specifications and the degree that those respective 3rd-party systems allow 'interaction' with Abacus 21's Systems.

Beyond the primary objective, Abacus 21 also has available a variety of other related add-on features.

In the case of any of Abacus 21's basic Payroll Interfaces, the situation is conceptually the same -- with just the 'details' of the file formats being differentiated between Payroll systems. (Abacus 21 does, however, have more 'intimate' and 'detailed' interaction with Abra since we in general do more of these than the others... and have a working relationship with Abra developers-distributors.)

The pertinent elements of consideration here are as follows:

From a Payroll perspective, Employees are allowed to work in multiple Departments at multiple Payrates (inclusive of differentiated Regular, OverTime, Double-Time, Break, Piecework provisions).  Work in Departments can be segmented into Job Classes -- with or without a differentiated PayRate effect.

Note that Abacus 21 makes a distinction between its 'Staff Departments' and classical 'Payroll Departments'.  The Departments that are set up in Abacus 21 are typically more-defined that those in Payroll.  For example, a Payroll System might have a Department called 'F/B Wait Staff' -- where in the Abacus 21 System there might be several pseudo-Departments (F/B Managers, Wait Staff, Hosts/Hostesses, Bartenders, BarBacks, Kitchen, etc.) that are all 'mapped' to that one single Payroll Department.

  • This more-precise treatment of Departments within Abacus 21 Systems is necessary to accommodate the specific definition of functionalities that are pertinent to (on this topic) differentiated Scheduling, Timeclock, and Payrate conditions that must be reacted to in 'life'.
  • In essence, the Abacus 21 systems handle all the 'difficult particulars' and pass to Payroll a 'distilled' accumlation of Regular, Overtime, Double-Time Hours (and Payrate) per Employee per Payroll Department.

Other Potentially-Related Areas

  • Point-of-Sale 'Demand-Loading-Intensity Statistics' passed to Labor Productivity systems.
  • Labor Productivity Efficiency Analysis Systems forecasting Labor requirements -- and transferring these requirements to the Labor Schedule System.
  • Point-of-Sale forcing requisite Timeclock Sign-In.
  • Point-of-Sale transferring Commissions (via the Commission Tracking System) to Payroll (or Accounts Payable).
  • Point-of-Sale transferring Service Charge or Gratuities to Payroll (or Accounts Payable).  This option requires Abacus 21's Service Charge & Tip Pool Allocation Sub-System.
  • Employee Photo Image presentation (at Timeclock, POS, Security Check-Points, or other general End-User junctions).
  • Employee (Photo) ID Card Recognition (at Timeclock, POS, or other general End-User junctions).
  • Fingerprint & Handprint Recognition (at Timeclock, POS, or other general End-User junctions).
  • Abacus 21's System interacting with Human Resource Systems

In all cases it is necessary to re-verify compliance the specifics of the Interface in the Client's particular situation -- and, it will be necessary for the Client to acquire the appropriate interface software (and in some cases hardware) links and cooperation from the respective 3rd-party Payroll Vendor.

Abacus 21 is also receptive to development of interfaces to other Payroll systems or embellishing those interfaces we already have.
